How to budget for a promotional vehicle campaign

Putting together a budget for a promotional vehicle campaign can often be rather stressful. You have the price of everything resting on your shoulders; vehicle, branding, staff, route planning, fuel, transport, venue etc etc.

It’s hard to find out how much this information costs, particularly as it is highly variable depending on the requirements of the project. Solve that problem and you arrive at the next; how am I going to pay for all this within my limited marketing budget?

It doesn’t have to be that way though, we can save you a lot of time and worry right here in this article, with a dedicated guide to costing as well as information on your payment options.

Surface level costing

If you already have a hard cap on your budget, the quickest way to find out if a promotional vehicle campaign will work for you, is to try our budget calculator. The calculator allows you to quickly ballpark your expenses, based on activation days and hire period.

Logistics days are the total number of live event days, these are days where you will require our logistical services to transport and set up your vehicle. The hire period is the total number of days you will actually have the vehicle in your possession.

So the base cost of the Airstream for example, is £7,910 for one logistics day and three hire days including wrapping, logistics and health and safety.

Cost vs ROI

Price will vary vehicle to vehicle but don’t base every decision solely on upfront cost, you need to think about your ROI too.

Certain vehicles are going to stand out to you far more than others as appropriate choices for an activation event, so make sure you don’t ignore your vehicle options.

The best vehicle for you, will be the one that matches your design ambitions functionally and aesthetically. It will be the vehicle that you think will provide the greatest return on investment, justifying the expense of the campaign and potentially opening the doorway to further endeavours in the future.

Detailed costing

For more detailed information on all things cost, your next step would be to explore our cost and services article, which breaks down all the services we offer, what they cost on average and the factors that swing your final bill up or down.

If you are looking to save money, this article is a great resource to inform you what you can do yourself.

We offer additional services to assist you with almost every aspect of running a promotional vehicle campaign, from design support right up to managing the campaign itself. If you are able to handle most things yourself then you stand to save a significant amount on your end bill.

Promotional vehicle payment options

Fitting the scope of a fairly expensive campaign inside a marketing budget may seem an impossibility but it’s anything but. At Promohire we strive to add value, and that includes offering budget friendly payment options that won’t break the bank.

If you are paying for the vehicle through monthly marketing spend for example, we can arrange for you to pay in instalments, or perhaps an upfront deposit followed by smaller payments spread monthly.

In all cases you will pay for your vehicles use a month ahead via direct debit, with email invoices notifying you of each payment.

Let’s say you’ve chosen an Airstream for your campaign, you need the vehicle for 2 weeks and you have 6 activation days within that time frame. The calculator gives you a ballpark price of £15,060.

This doesn’t include any other expenses of course, and looking at the other support services you think your bill might be significantly more than this. Don’t get disheartened though, we offer financial flexibility, and are always willing to work with you to come to a mutually beneficial arrangement.

A good example of this is our videography services, if you are willing to commit to us, we are happy to tell your story through video. All we would ask in return is for a testimonial, which we would add to the video.
